Groove is a sales engagement software that drives efficiency at every stage of the sales process so that sales reps can spend more time selling. Groove provides productivity tools as well as actionable analytics on performance. Learn more about Groove here.

Number of meetings booked are a key performance indicator for sales people. The Groove Meeting Scheduler is a critical feature that enables sales reps to send their calendar availability immediately without emailing back and forth for an optimal time. New customers of Groove saw an increase in meetings booked after using Groove's meeting scheduler. However, current users complained that the scheduler required too many clicks to book a meeting that their customers were dropping off in the process before booking a meeting.

ANALYSIS OF OLD DESIGN

The old scheduler allowed the user to share their calendar availability through an email link.  Users could set up template meeting types, buffer times, and work hours. But some users wanted to be able to send specific times in an email; this would increase the click rate to book a meeting as well as limit the times their customer could book. Even some of Groove's customers threatened to move to a competitor who had this feature.

 
 
 
 
 
 

CHALLENGE

Groove customers were complaining that the Groove meeting scheduler decreased their rate of meetings booked compared to other products.

How do we not only catch up to what our competitors offer for their meeting scheduler but also surpass what they offer by providing even more value with one-click booking?

 
 
 

GOAL

The conversion rate from scheduler link inserted to meetings booked was about 55%. Our goal was to raise this by at least 10% by eliminating the barriers to booking a meeting.

COMPETITIVE DIFFERENTIATION WITH NEW DESIGN

We added the ability to add specific times in addition to inserting availability. The use case for adding specific times was imperative for users who wanted to control the times that got scheduled on their calendars. Giving specific times also increased the number of bookings because it only takes one click to book a meeting.

 
 
 
 

COMPETITIVE DIFFERENTIATION WITH NEW DESIGN

The calendar UI was designed with Material Design. Material created a delightful interface that reflects the Google Calendar UI - an experience that users have already built a habit using. Imitating Google Calendar also eliminates friction to learning how to use the feature and creates an excellent out-of-box experience.
